Location of atlases.\nDivisions should have duplicates of certain maps and\natlases, but where only a single copy is available\nand cannot be duplicated, it should be in the Map Room,\n3. Miss Ng, Asian Studies, has asked if a Personnel\nManual could be compiled to answer questions from\nstaff concerning amount of sick leave, extra time for\nnight work, etc.\n(Mr. Bell reminded us that there are two handbooks\ncovering this type of information - The Faculty Handbook and supp, for professional staff and faculty\n(available at the Payroll Office) and the Handbook\nfor University Staff which staff members receive from\nPersonnel when hired. Because these are subject to\nfrequent revision, Mr. Bell feels that it is better\nto refer to them rather than compile another here.) From the November issue of the UNIVERSITY GAZETTE .\nBranch Libraries and Reading Rooms. Summary,\nTo ensure proper administration and orderly development of\nour library system the following policies have been formulated\nby the Senate Library Committee and approved by the Senate.\nBranch Libraries\nMajor collections located outside the Main Library, available\nto the whole University community and under the supervision of the\nUniversity Librarian.\n1, Material in several related subject areas and, in general,\nnot duplicated in the Main Library.\n2, Serves the needs of specific faculties and departments,\nbut as an extension of the Main Library; also gives service to any\nmember of the university.\n3, Staff. At least one professional librarian and other\nclerical or student help as needed, appointed by and responsible\nto the University Librarian.\n4, Hours. Approximately the same as the Main Library.\n5, To have complete catalogues for their collections, and\nto follow the established university library procedures in the\norganization and administration of the collection.\n6, Establishment. Upon the recommendation of the University\nLibrarian and the Senate Library Committee in consultation with\nthe academic deans concerned and with the approval of the President,\nWill consider:\n1, The extent of the teaching, grad and research\nprograms involved,\n2, Nature of collection and numbers making use of it,\n3, Suitable location and quarters.\n4, Money available for staff, books and catalogue. Reading Rooms\nProvide departments with a small collection, suitable reading space and certain minimum library facilities.\n1. Restricted in size. Reference and heavily used material\nmost of which is duplicated in the Main Library.\n2. Maintained for the benefit of a particular department,\nbut as University property, available to al1 its members.\nBought from library, departmental, or research funds.\n3. Staff. Departmental secretaries, clericals and student\nassistants working under the supervision of the department concerned and in co-operation with the Library when required.\n4. Hours. During session, as a minimum, the normal office\nhours of the University,\n5. Catalogue. Author only.\n6. Establishment. Department head to take proposal to\nfaculty Dean who will investigate suitable location with Dean\nof Inter-faculty Affairs. If provided, proposal then sent to\nUniversity Librarian as secretary of the Senate Library\nCommittee. If approved by Senate Library Committee, Librarian\nwill request money to establish the reading room in his annual\nbudget presentation,\n7. The New Kardex - CONTINUATION - File in Acquisitions\nWhat is it?\nIt is a record on Kardex-type cards showing all continuations on order or regularly coming as gifts, through the\nAcquisitions Department.\nWhy is it?\nSince Acquisitions buys books and Serials buys periodicals\nwhy should Acquisitions need a Continuation File? This sounds\nlike a logical question, but, alas, publishers are not logical.\nThey insist on producing books in series, and annual reports\nwhich look like independent books. Also, authors having a taste\nof high living off royalty cheques - if the book sells at all -\nand soon being poor again seek a second royalty cheque by producing volume 2, and then volume 3...Librarians have an aversion to the incomplete and so they seek a means of automatically acquiring future volumes. But why keep such orders in\na separate file rather than in the Order file? Because, (all\northodox librarians brace yourselves) the 3x5 cards in the\nMain Order File are too small to record very many volumes.\nWhat is in the file?\nA continuation is any order which cannot be completed in\none shipment because part of it is not yet published. In some\ncases, it may take years (not months - years) to complete the\nset, and in some cases, no end is planned. Specifically, this\nmeans monographic series, annuals, sets in progress (including\nthe results of scientific expeditions) and a few irregular\nseries which are not really journals because they come at infrequent intervals. i.e. every two or three years. Acquisitions does not (knowingly) place in this file the type of\nmaterial which Serials should handle - that is, as you know\n(don't you?), series which are irregular but frequent, which\nare published regularly and more frequently than annually,\nand series which, though published irregularly, have regular\nvolumes and part numbering.\nCLEAR?????\nContinued on page 8 itftf\ni.. rt\n\u00E2\u0096\u00A0\u00E2\u0080\u00A2VIA] r:a=. I 1\nf e^r=l!\nThe true university of these days is a collection of books\n--Carlyle\nB and S-B bought nearly a quarter of a million $$$ worth over seas. Acq. staff were stunned, but are carrying on bravely. What is not in the file?\nThe file is not a record of holdings, nor a binding record -\nnot any more. Go to the Shelf List for the holdings, and there\nalso you will find the location of unbound holdings. The file\nin Acquisitions tells what is on order, how much of it has been\nreceived, who it came from, where Acquisitions is to send it,\nand who pays for it. It is the history of the Order not the Title.\nSince the word Kardex is synonymous with Serials Division,\nour file has been given another name to avoid confusion. We,\nin Acquisitions, call it THE CONTINUATION FILE.\nRita Butterfield\nNews from the Fine Arts Gallery\nA fifteen year retrospective of paintings and sculpture by\nthe Canadian artist, James A. S. Macdonald, is on view in the\nFine Arts Gallery from November 18 - Dec. 4, To some, his recent\nworks suggest \"starkness\", \"loneliness\", \"intensifying silence\",\nand the \"Quality of illumination\".
