January 3, 1961.   No".231
Reporting Division Heads Meeting and other Matters of Interest
to University of British Columbia Library Staff
Present: NH, SR, AMS, NKT, DP, EBM, AB, JS, BSS, ML, MD,
RJL, IB, GGT, EC, and HM.
Mr. Harlow called attention to the new special library
edition of the U.B.C. Alumni Chronicle, with short reports
of the opening ceremonies, the reorganization, the College
Library, Special Collections, the Friends of the Library, and
a printing of Dr. Louis B. Wright's address.- It Includes
pictures of the building and some of the rare books.
Janitor
Mr. Brodie has been transferred to the night shift to
organize the cleaning of the Library building. Mr. Lyle
Richards is replacing him for the time being as day janitor.
Staff Room
Part-time assistance has been employed to prepare coffee
and clear up the Staff Room at the morning and afternoon coffee
breaks. Staff members are asked to empty the ashtrays when
they are full, and those who use the room for lunch, to leave
the tables and dishes clean.
"Extra-illustrated" Volumes
The Library acquires occasionally sets which have many
illustrations, maps, etc., tjpped or laid In which are too
vulnerable to theft If put in the main bookstacks.  A German
world history now being published is a current example and
it will be placed in the enclosed area in the Humanities
Division and used under supervision.
A number of definitive editions of literary works were
transferred from the old "cage" area to Special Collections,
some of which should now go into the bookstack. Mr. Stuart-
Stubbs will check which seem to require special attention
because of edition, rarity, or other reasons.
Christmas Hampers
The Christmas hampers were packed by members of the
staff on Friday morning, December 23. Mr. Branko B&.zi,cevic
of Special Collections and Miss Vera Traff then delivered them
to the three pensioners who expressed their appreciation and
gratitude to the Library staff for the gifts. Approximately
$43.60 was donated by staff members.  Miss Fraser will prepare
a statement shortly.

Catalog Information Desk
Prior to the present Heads meeting, Mr. Geoff Turner
talked to the librarians about the nature and use of the card
catalog, in preparation for their new schedule of providing
advisory service to students at the public catalog, beginning
January 4. An information desk will be set up in the Concourse,
and librarians will spend periods of an hour a day there, one
or more times a week.
Mr. Harlow to Leave U.B.C.
Mr. Harlow stated that his resignation as University
Librarian would be acted upon by the Board of Governors at
its January 3 meeting. His new appointment as Dean of the
Graduate School of Library Service at Rutgers University does
not become effective until July 1, and he Is therefore still
the Librarian at U.B.C. for a number of months and expects
to be so until the minute of his departure! The official
announcement of his resignation is to be made on January 6,
and he wants the staff to know about it in advance and not
have to "read about it in the papers."
PERSONAL
Mrs. Anne Brearley has received a letter of appreciation
from the School of Home Economics expressing their thanks and
MEMO TO THE LIBRARY STAFF
The President and the Board of Governors will announce
on Friday, January 6, that I shall resign as University Librarian
at the end of June, 1961. I wish only to give you this notice
of intention so that you will be informed if it is brought to
your attention by some other means. This is in no sense a
farewell note, for six months yet remain of my term, during
which a good many things can happen and, indeed, remain to be
done,
I am leaving yhe University of British Columbia to
become Dean of the Graduate School of Library Service at Rutgers
University (the state university of New Jersey), a new kind of
undertaking for me,
