Reporting Division Heads Meetings and Other Matters of Interest to
the University of British Columbia Library Staff.

Staff Travel Grants '
'   '   The following recommendations, for 1963/64, of the
Staff Travel Grants Committee were approved}
1. Dates for applications to attend conferences:
April 1st for meetings to be held May 1st to
April 30th.
September 1st for further submissions for meetings
from October lst-April 30th.
2. Meetings which are to be held in British Columbia
should not be considered for a grant.
3. Grants will be made on the basis of approximately
80$ pf the tourist air fare return to a limit of $250.
4. Each year at least one Librarian without an
administrative position and who has been on the staff for one year
or more will be selected from the applications submitted to attend
a conference from which he would obtain special benefit.
5^ A committee on staff travel grants will be
appointed each year to administer the program.
6. Normally only one grant will be made to an individual
in any one year.
7. Any money remaining after all applications have
been considered in September will be used for information trips
and/or to pay second grants to people who have already received
one during the year but have official business at a second meeting
or conference.
8. Application forms are available in the Librarian's
Additions to the Bindery, more than doubling the
counter space, have, been completed.
Library Representatives
Library representatives will, meet in the Staff Lounge
at 3«30 p.m., Thursday April 18, to discuss book appropriations. 2 -
In order to reduce the number of trips to the Supply Room,
divisions were requested to leave lists, in the Librarian's Office during
the day, of any supplies they require and to pick up supplies from the
mail shelves between 4 and 5 p.m. or the following morning.
Division Heads were also asked to submit a list, in August,
of equipment and major supplies wanted for the following fiscal year and
to remind the Librarian's Office, in sufficient time, to reorder supplies
unique to their divisions. Stationary and other small supplies will he
maintained by the Librarian's °ffice.
Hourly time sheets should be brought to the Librarian's
Office by 9:30 a.m. at the beginning of each week to allow sufficient
time for tabulation and delivery to the Payroll Office.
Food in the Library
Signs will be posted to notify students that food may not
be consumed in the Library or taken into the stacks.
Xerox Photocopies
A second Xerox 914 has been ordered for the Library and
should be delivered early in July. The present machine will be used
for photocopying short runs which students and faculty want immediately
and the new machine for lengthy articles, books and Library copying.
Extra-Mural Fees
Henceforth Extra-mural readers will be registered for
the period September to August to eliminate overlapping, from one year
to the next, of Extra-Mural cards.
Departmental Library Committee
A committee consisting of Mrs. Selby, Miss O'Rourke, Miss
Leith, Mr. Bell and Mr. Ranz, Chairman, was appointed to review Library
policy on departmental libraries.
