OPAC LAUNCHED AT UBC
On the tenth anniversary of the closing
of the card catalogue and the unveiling
of the microcatalogue, the library has
introduced an online public access
catalogue (OPAC).
This week, the first phase of implementation was completed with the
introduction of remote online access for all UBC faculty.  The second
'ribbon-cutting' phase will take place in March with the installation
of ten public terminals; three in the Main Library concourse, two in
Woodward, two in Sedgewick, and one each in MacMillan, Law and the
Curriculum Lab.
The locations for the public terminals were selected by the Public
Catalogue Task Group (PCTG).  We will use new QUME terminals which
will eventually be replaced by microcomputer workstations.  The
library will order the microcomputers by the end of March but they may
not be installed until we have bought or developed a new user
interface.
The present OPAC interface for use with conventional or 'dumb'
terminals was developed very quickly and will be under review for the
next six months.  Changes will be made as necessary.  The Systems
Division does not want to invest too much time in perfecting this user
interface since, in the next year or so, it will be replaced by the
new microcomputer software.
OPAC users can search in the prompted menu-driven mode or the command
mode.  Keyword searching will be available only through the command
mode.  A user manual for faculty should be available in the bookstore
by the beginning of March.  Information and Orientation is producing a
basic handout for the command mode to assist OPAC users.
Initially, the four major library files (catalogue, in-process,
serials and circulation) will be available in the menu-driven mode and
a few more in the command mode.  Others will be added gradually.
To commemorate this historic development, the Library is planning to
have a ceremony/celebration when the first public terminals are
installed in March.  At that time, we hope to receive further
publicity with articles in some of the campus publications.  An
announcement about OPAC was sent to all UBC faculty this week in the
flyer GREAT FILES ONLINE.
Please note that the signon name for OPAC has changed from LIBRARY to
UBCLIB.  This change was required by the Computing Centre because they
already had a file called 'library'. MURDER IN THE STACKS:
Although we depend on books to earn our
livings and most of us will spend a good
part of our lives handling books, we
tend to take them for granted.  The
Library buys them by the thousands and,
so far, we have collected over 2 1/2
million.  Now we are facing a
preservation crisis and all of us need
to be reminded that without drastic
measures, most of our pre-1950 books may
be completely lost or unusable within
the next twenty to thirty years.
In acknowledgement of this impending crisis, the Library
Administration appointed a Standing Committee on Preservation in
January 1987.  In September, the Committee submitted a number of
recommendations to the Administration for actions to be taken at UBC
library.
Their main recommendation is that a librarian with formal training in
preservation administration be appointed, to be responsible for
preservation and conservation planning.  Other recommendations include
establishing a preservation budget, appointing a Disaster Plan
Committee and mounting preservation education campaigns for both
Library staff and users.
The Library has taken immediate action on a number of these
recommendations.  This week Suzanne Dodson was appointed as Acting
Preservation Librarian.  She will work in this new position part-time
in addition to her duties as the Head of the Government Publications
and Microforms Division.  A Disaster Plan Committee had already been
appointed and is currently preparing a disaster plan for the Library.
An in-house campaign to educate Library staff started in September and
on February 1, we kicked off the 'Handle with care' campaign for
Library users.
The public campaign emphasizes both the problem of general abuse of
library materials and the environmental conditions which are hastening
the deterioration of our collections. A video called 'Murder in the
stacks' is being shown beside the display case on the 5th level of the
Main Library during the first three weeks of February, from 9 to 4 pm.
This video will be incorporated into the orientation programme for all
new staff.  If any branches would like to borrow the video, please
contact Information & Orientation.
The current campaign also features displays in Main Library,
Sedgewick, Woodward and the Curriculum Lab. Most other locations have
the 'Handle with care' and 'Are you a book batterer?' posters.
Starting February 1, 'Handle with care' bookmarks are being inserted
in books checked out from all library locations.
As we come closer to the critical stage with our older books, the
preservation issue is going to gain momentum.  Expect to see more
preservation information and campaigns.  For now, please remember to
treat our books gently and spread the message. SYSTEMS UPDATE '4^'
NEW COMMAND FOR CIRCULATION STATUS
Instead of using the .CFind command to find out the status of an item
in the CIRCULATION file, it is now possible to use the +.CIRC command.
The advantage of this new command is that it does not transfer you out
of your current file and into the .CIRC file. Also, it is possible to
check more than one item at a time.
You can use the +.CIRC command in the .UBC, .SERIALS or the
.IN.PROCESS files.  Once you have found and/or displayed the item(s)
you want to check, enter the item number(s) followed by +.circ (e.g.
•1-3,5+.circ).  The system will respond with a list of the item(s)
signed out or the message:  Not out on loan.
%GRAB
If you are using a network terminal, it is possible to sign onto two
network tasks and flip back and forth between the two.  For example,
if you are signed onto LDMS, you can sign onto UBCLIB by typing:
%grab ubclib.  The system will ask for your signon ID.  After entering
this, you will be in the UBCLIB task.  To return to LDMS, press the
Fll function key once.  To return to UBCLIB, press the Fll key again.
You can flip back and forth between these two files until you sign
off.
Since you are signed onto two tasks, it is necessary to sign off
twice. After you sign off your current task, the system will
automatically flip you into the other task you have signed onto. To
avoid confusion for other staff using your terminal, make sure that
you ALWAYS SIGN OFF TWICE before leaving the terminal.
The %GRAB command can be used for all of the network tasks.
If you have any questions about the +.CIRC or %GRAB commands, please
call the Systems Division or I & 0.
CATALOGUE PRODUCTS DIVISION SHRINKS
On February 1st, the number of units in Catalogue Products Division
was reduced from four to two.  This has been made possible by moving
the added copy and volume work to the Catalogue Records Division and,
also, by the forthcoming production of computer-generated spine
labels.
The two remaining units will be headed by Elsa Guarnaschelli
(Catalogue Maintenance Unit) and Leeta Sokalski (Book Preparation
Unit).  Transfers and withdrawals will now be handled by Catalogue
Maintenance Unit which will also be responsible for developing the
automated subject authorities system.  Data preparation will now be
done in the Book Preparation Unit.
Two staff members from the defunct Added Copies Unit have been
transferred to Catalogue Records; one to the Biomedical Unit and one
to the English/Fine Arts Unit.

winning name.  Unfortunately, our entry forms did not include a space

The new MISC. MATERIALS fiche is now out.  In addition to the new name
and yellow eye-readable strip, it's smaller than the previous fiche
because all the bibliography files have been removed.  The
bibliography files can now be searched online in the .BIB file.  Two
of the more popular bibliography files (Canadian politics and B.C.
Theses) will be published as separate fiche products later this year.
In the meantime, keep the last version of the DRS fiche for manual
searching of the bibliographies.

DRS-OOPS! MISCELLANEOUS MATERIALS FEATURE OF THE MONTH

SPAM FILE (Special Collections pamphlet file)
When the MISC. MATERIALS system was first developed, it was intended
to give us a better method to control and retrieve ephemeral materials
such as pamphlets.  It has since expanded beyond controlling just
transient materials, but there are still many files which might be
considered as 'classic' MISC. MATERIALS files, such as the SPAM file.
The SPAM file indexes the Canadiana pamphlet collection in the Special
Collections Division.
The pamphlet collection, which was started in the 1960's, is roughly
organized by LC classification and contains pamphlets, offprints,
conference papers, broadsides and other miscellaneous items.  The
materials were indexed in a card file until 1981, when they started
using the MISC. MATERIALS.  At present, there are aproximately 2,600
records in the SPAM file.  The card file with over 15,000 records
still needs to be converted.
As with most MISC. MATERIALS files, it is best to use the keyword
index to search the SPAM file.  Try the following searches:
1. Do you have any documents about the restriction of the Chinese in
B.C. in the 1880's?
Try:  F W-chinese
F * .AND. +COL = 'SPAM'
(WARNING: in the line immediately above, the spaces before AND after
the equal sign are essential)
2. Do you have anything on an early B.C. Tel strike?
Try:  F W=telephone strike
If you have any questions about the SPAM file, call Frances Woodward
in Special Collections (2521).  Remember to clip and save this to add
to your other MISC. MATERIALS features of the month. STAFF NEWS
Tomoko Hermsmeier has been appointed as the full-time Japanese
Cataloguer in the Catalogue Records Division.  She has worked as a
cataloguer at the University of Hawaii, the District Resource Centre
in School District #31 in Merritt and the Vancouver School Board.  She
starts her new position on March 1st.
This new full-time position is partially funded by the Pacific Rim
Excellence funds which were obtained from the B.C. government through
a proposal submitted by the Faculty of Arts.  From this same fund, the
Library is receiving $150,000.00 per year to purchase Western and
vernacular language materials for Pacific Rim studies.  We have also
received enough money to hire three half-time librarians with Korean,
Indonesian and Indie language skills.
Margaret Fukuyama will be moving from her position as part-time
Japanese Cataloguer to replace John Gray as the part-time Cataloguing-
in-Publication Cataloguer.  This contract position is funded by the
National Library of Canada as payment for the CIP work done at UBC
Library. John Gray is retiring at the end of February.  Although John
has tried retirement several times before, it appears that he's quite
serious this time.  He will be missed by all of us and we wish him all
the best.
Carole Wisdom has been selected as the new Curriculum/AV Cataloguer in
the Catalogue Records Division.  Prior to attending Library School,
Carole worked at UBC Library for thirteen years.  Since graduating she
has been working at Calgary Public Library.  She begins her twelve
month appointment on March 1st.
The Christmas spirit triumphed once more at the third annual Christmas
Auction in the Main Library Circulation Division.  They raised a total
of $300.85 for two Vancouver charities; the Empty Stocking Fund and
the Family's Student Housing Christmas Assistance Drive.  Along with
raising the money, a good time was had by all.  Happy New Year!

A/V SWITCHES TO LC
On January 1st, the Catalogue Records Division switched over to the
Library of Congress classification system for cataloguing audio-visual
materials. Until now, UBC has used an in-house system for classifying
A/V materials.  This change was recommended to the Library
Administration by the Audio-Visual Materials Task Group last June. At
present, there are no plans to convert the old call numbers to LC.
If you have any questions about this, please call Ann Turner in the
Catalogue Records Division (3510).
SEDGEWICK NEWS ITEMS
INTENSIVE CARE
From January 25 to February 25, Sedgewick Library is offering
intensive term paper help to 1st and 2nd year arts and science
students.  This individual service is intended to help students
research their essay topics.  Send students to sign up from Monday to
Thursday, 3 to 4 pm.
SUBTERRANEAN SNACKS
Coming soon there will be a new snack bar called "The Underground" in
the lobby of Sedgewick Library.  It will offer 7-day-a-week service
with extended late night hours from Sunday through Thursday.  In
addition to Food Services' regular menu items, the Underground will
feature mini-meals, jumbo muffins and gourmet coffees.  They will also
have "student supplies" such as scotch tape, paper, pencils, paper
clips and all those other non-reference-type requests that can drive
busy reference staff crazy.
The Library hopes that this new food outlet will help to curb both
snacking and socializing in Sedgewick.
SOFTWARE COPIER
Sedgewick now has a microcomputer that can duplicate free and
shareware software programs for IBM PC-compatible microcomputers.
It's a self-service operation called the Shareware Server.  It has a
user interface which gives you step-by-step instructions for copying
the software.  The software available for copying includes general
public domain files and utilities, UBC site-licensed programs and UBC
specific files.  They do not have any games or entertainment programs.
If you plan to use it, make sure you bring along a blank disk.
UBC FINE ARTS GALLERY
Keeveeok. Awake!  Mamnouasualuk and the rebirth of legend at Baker
Lake.  An exhibition of 20 drawings from the University of Alberta
Collections, originated by the Ring House Gallery and the Boreal
Institute for Northern Studies, will be on display from Feb. 9 through
March 5 at the UBC Fine Arts Gallery.
